**Quality Check** is a warehouse-facing digital inspection interface that provides warehouse staff with a structured workflow to assess returned items, document their condition, and trigger appropriate resolution actions (refund, partial refund, or denial).

**How it works:**

1. **Return arrives** at warehouse or 3PL facility
2. **Staff searches** for return by tracking reference, order ID, or barcode scan
3. **System displays** expected items, customer information, and return reason
4. **Staff inspects** physical items and selects condition status for each (all good, defect, missing)
5. **Staff sets outcomes** – return status, refund decision, restocking approval
6. **Report submits** – system automatically triggers refund, inventory update, and customer notification

**Integration points:**

- Connected to e-commerce platform for automatic refund processing
- Syncs with your WMS for inventory restocking decisions — **only where that is needed**. In many setups inventory information comes directly from the e-commerce platform, so no WMS integration is required.
- Feeds analytics dashboards for fraud detection and product quality trends
- Triggers customer email notifications with return outcomes

**Competitive advantages:**

- **All-in-one workflow** – Search, inspect, assess, and resolve in single interface (no app switching)
- **Flexible review workflows** – Choose immediate processing or manager approval per case
- **Integration-ready** – Works with major e-commerce platforms and WMS systems out of the box
- **Comprehensive audit trail** – Every assessment timestamped with user accountability for disputes
- **Photo evidence capture** – Document item conditions with integrated image upload

## Use Cases & Configuration Scenarios

### Use Case 1: Fashion Retailer Reducing Refund Fraud

**Business Challenge:**

High-volume fashion retailer experiencing £25,000/month in suspected fraudulent returns (wrong items returned, heavily worn items, missing tags). Manual paper-based process provides no documentation for disputes. Warehouse staff inconsistently apply return policies.

**Solution:**

Implement Quality Check with:

- Structured condition assessment (all good / item defect / item missing)
- Mandatory photo upload for defect claims over £50
- Manager review workflow for all "No refund" decisions
- Integration with Shopify for automatic refund processing

**Results:**

- **£18,000/month fraud prevention savings** (35 fraudulent returns identified and denied per month at £500 average value)
- **Zero chargebacks lost** (Quality Check documentation supports all disputes)
- **Consistent policy application** (100% of returns assessed using same criteria)
- **Processing time reduced** from 5 minutes to 2 minutes per return
- **ROI: 9:1** (£18,000 saved vs. £2,000 monthly cost)

### Use Case 2: Electronics Brand Improving Inventory Recovery

**Business Challenge:**

Electronics retailer struggling with inventory recovery rate of 55% (45% of returned items not restocked due to unclear quality standards). Warehouse staff unsure which items can be resold vs. clearance vs. disposal. Lost revenue from unnecessary write-offs.

**Solution:**

Configure Quality Check with:

- Clear restocking criteria (approved / not approved with guidance)
- Item condition tracking (all good, defect, missing accessories)
- Integration with Ongoing WMS for automatic inventory routing
- Photo evidence for defect documentation

**Results:**

- **Inventory recovery improved from 55% to 78%** (23% increase)
- **£45,000/month revenue recovery** from restocking items previously sent to clearance
- **Reduced processing confusion** (warehouse staff confident in restock decisions)
- **Faster turnaround** (approved items back in sellable stock within 24 hours)
- **Product quality insights** (aggregate data revealed supplier defect patterns)

### Use Case 3: Multi-Brand Retailer Scaling Warehouse Operations

**Business Challenge:**

Growing retailer processing 200 returns/day with seasonal peaks to 500/day. Paper-based quality checks create bottlenecks (15-20 minute processing time). Cannot scale warehouse team fast enough for peaks. No visibility into individual warehouse staff performance.

**Solution:**

Deploy Quality Check with:

- Barcode scanning for fast return lookup (3 seconds vs. manual search)
- Streamlined workflow for "all good" returns (90 seconds per return)
- Exception-based manager review (only 10% of returns escalated)
- Parallel processing (5 warehouse staff simultaneously)
- Performance analytics per user

**Results:**

- **Processing speed: 70 returns per warehouse user per day** (3x improvement)
- **Peak handling without overtime** (scaled from 200 to 500 returns/day with same team)
- **Cost per return reduced from £5 to £1.50** (70% reduction in labour cost)
- **Consistent quality** (structured workflow ensures policy adherence even during peaks)
- **Staff accountability** (performance metrics identify training needs)

### Use Case 4: Premium Brand Preventing Partial Refund Disputes

**Business Challenge:**

Luxury retailer offering partial refunds for minor defects (e.g., 50% refund for item with loose thread). Customer disputes increasing (35% of partial refunds result in escalation). No documentation to support partial refund decisions leads to full refunds to appease customers.

**Solution:**

Implement Quality Check with:

- Detailed report comment field (free-text notes on defect details)
- Photo evidence capture (warehouse staff upload images of defects)
- Manager review for all "No refund" and partial refund cases
- Email templates referencing quality check findings

**Results:**

- **Customer disputes reduced from 35% to 8%** (photo evidence and clear notes eliminate "he said/she said")
- **Zero chargebacks** on partial refund disputes (Quality Check documentation accepted by payment processors)
- **Margin protection: £12,000/month** (partial refunds upheld instead of full refunds to appease)
- **Improved customer communication** (specific defect descriptions in emails reduce confusion)

### Use Case 5: Omni-channel Retailer Managing Multiple Return Locations

**Business Challenge:**

Retailer with 3 warehouse locations (UK, Germany, Poland) and 15 physical stores processing returns. Inconsistent quality standards across locations (UK warehouse strict, Poland lenient). No centralized visibility into quality checks.

**Solution:**

Roll out Quality Check across all locations with:

- Standardised condition assessment criteria (company-wide training)
- Centralised configuration (return violations policy applies to all locations)
- Location-based analytics (compare defect rates and restock approvals)
- User role management (warehouse managers can review reports from all sites)

**Results:**

- **Consistent quality standards** across all 18 locations
- **Centralised visibility** (HQ can monitor quality checks from all sites in real-time)
- **Location performance comparison** (identify best practices and training needs)
- **Reduced inter-location disputes** (shared standards eliminate "why did UK approve but Poland deny?")
- **Scalable to new locations** (onboard new warehouse in 1 day with standardised workflow)
